I can know the information of the user by looking though the email address or with the name, in fact i had the user information in my address book earlier, as a result when the email arrive in my inbox they will just show their name rather than their email. However, some email that came from my university, and I can easily tell because they will include something like Edu(unisa@edu.au), and if I received something with an Gov I can tell they were from the government office or the Tax office Taxoffice.gov.au. Furthermore, some will even include SA at the middle end of the email address such as ATO@gov.sa.au and I can tell they were from South Australia with the include of Sa( South Australia) plus au stand for (Australia). 2. In what cases would you find it useful to use the 'cc', 'bcc' and 'reply all functions of email?
Cc stands for carbon copy which means that whose address appears after the Cc: header would receive a copy of the message. Also, the Cc header would also appear inside the header of the received message. Cc is stands for carbon copy, which means that those name that in Cc will received a copy of my message and their identity will be shown. In many cases, this a like a multi ways communication, which for example: when I am chatting with Jane, but Mike is also involve in this situation, as a result in order to let Mike know what i have chat with Jane, I will include Mike's email address in Cc' so that he can received a copy of our conversation and understand what we are talking about.
On the other hand, "Bcc" is a short form name of “blind carbon copy" which is similar to Cc but the different is that the identity is not shown. In practice Bcc were to be useful when you were to send a number copy of email to a number of recipients (John, Mary Karen) but you do not intent to show their email address of the recipients (john Mary Karen) . As a result, when John received the message, he will not know that you have actually sent to Mary and Karen. It will only appear the sender email address which is yourself. In many ways this is very useful when I were to sending an important message which I think the identity of the recipients should be visible I will use bcc as identity of users are always consider as private and confidential . One good explanation of Bcc demo which can be found is from http://office.microsoft.com/en-au/word/HP010746961033.aspx 3. In what ways can you ensure that an attachment you send will be easily opened by the receiver?
In order to allow my attachment be easily to be opened by the receiver, I will either save the file in a different format. For example if a picture were to be 3.0mb on Jpeg and it will take a longer time, I will rather save it Bitmap or Gif file so that the user can easily opened it. On the other hand, i might also consider using Winzip, to zip the file so that it can be easily be saved, opened and will take a shorter time for the receiver to opened.
4. What sorts of filters or rules do you have set up, and for what purpose?
As I am currently using Hotmail and Yahoo mail as my main email account. In fact, I had setup a number of filters in order to look more organized as when I am looking for my message. For example: i had setup different folder with different names such as (Curtin, Mum, Brother and Friends). When my mum send an email to me, it will automatic sort the mail into the mum folder or when a mail which is came from curtin university it will also go to curtin university rather than i have to custom organized it. The purpose I am doing this is because I often have too many mail in my box, and without filter it would take too long time for me to find a mail which is important and also by doing this I will also make sure that i won' delete an important mail.
Furthermore I also often received mail which is unrelated (Junk Email) as I have no idea where did they got my email address from, as a result, I had added some rules on my mailbox which is only the address which is appear in my address will be include in my inbox else all other's mail will be in junk mail and will be removed within 7 days. By doing this, I can make sure that all important will not be left out and all junk will automatically be remove, also it won't take too many space of my mailbox.
5. How have you organized the folder structure of your email and why?
In regards to this question, as I have explain earlier this would make sure all mail will send to the correct folder and it save time for me to look for each message. (Please refer to question 4). In addition, I would say that Yahoo mail would be would be the best option compare to hotmail, because first it is easy to create a folder using Yahoo mail, and by using Yahoo mail it often takes a shorter time for me to open a folder. Finally, by using Yahoo mail I can also designed the color I like and there are more option's in Yahoo. Below Is a picture of how I organise my folder.
Module 2 Lists
Mailing Lists
A mailing lists is much like a newsgroup in that you subscribe to a lists based on its topic. The primary difference is that instead of visiting the newsgroup and reading message of your choice, a mailing list will automatically send every post to the group to your email address.
For a mailing list to work, someone has to handle its management and administration: mostly signing up new members and removing members who have asked to be removed.
In a few mailing lists, that administrative task is handled by a real person. However most mailing lists are managed not by person, but a lists server. Sometimes, the mailing lists managed by people are called manual mailing lists, to distinguish them from the lists automated by list server. A list server is also considering a program that automatically manages a mailing list. In fact there are many several different programs that managed mailing lists, including listserv, listproc and majordomo. They are often grouped under the term “listserv”.
Pro Mailing Lists
The first step in using mailing lists is finding one that interests you. Often you will see mention of mailing lists, along with the email address required for signing up: the subscription address. For example: when you subscribe to the tennis mailing lists which you interests, you will automatically received a lot of information related to tennis when something is happening such as there will be an upcoming competition (Davis Cup), information about tennis player, how to become a professional tennis players and others. In fact, most of your time will be save as you don’t need to go through different website to get the same information about the particular event on tennis if you are searching for .
Cons Mailing Lists
When you subscribe to mailing lists, your name, email address ( and interest in the list’s topic) are recorded in a database that might be accessed and copied very easily by a spammer, particularly if the lists it managed by a automated program. In fact, the spammer will also make you unpleasant which send many unrelated information to your email address which turn your mailbox into a junk mailbox.
Discussion Board
One of the internet principal discussion venues is the newsgroup, a sort of public bulletin board. There are thousand of newsgroups, each centering on a particular topic- everything from music to politics, from addiction recovery to TV shows.
Visitors to a newsgroup post messages that any other visitor can read. When reading a message, any visitor can quickly compose and post a reply to that message, to add information to the message, or to argue with it. As the replies are followed by replies to replies, a sort of free-form discussion.
Pro Discussion Board
Here are a few basics steps of being a good cyber citizen, particularly when you participate in a discussion groups.
Don’t shout – SOME FOLKS LIKE TO TYPE ALL MESSAGES ONLY IN CAPITAL LETTERS, and some others overuse capital letters for emphasis! on the internet capitalizing letters means you are shouting. As a result, avoid using capital letters except that is something important which you are trying to emphasis.
Keep current- New comers often tend to asked question’s that have already been asked and answered a dozen times, which often annoys the regular. As a result it is important to keep up with the conversation so you know what’s going on. Read the FAQ, if one is available.
Don’t use sarcastic language – It’s very difficult to communicate sarcasm effectively in a written message. Often, exaggerated messages intended as sarcasm are taken literally by those who read them, and confusion or arguments ensue.
Keep personal discussions personal- before sending any message, ask yourself, would this message interest the whole list, or is it really a personal message to just one member? If the message is really for one person, you can find the person email address in the header information and send directly to that person in private.
Finally try to be yourself within the style and culture of the group, to ensure that you can be understood by all.
Cons Discussion Board
When you post messages to a discussion board, a spammer can easily learn two things about you: your email address and that you’re interested in the newsgroup topic.
That’s valuable direct marketing information; if you post a message to a newsgroup about a particular kind of product, you can expect to receive spam trying to sell you such a product. If you post to a sex-related newsgroup, you will soon receive spam selling phone sex or other sex related stuff. In fact, you can read newsgroup messages anonymously- but when you post, you reveal your address. So watch up when you are posting a message on discussion board.
Are there certain kinds of communication or purposes more suited to one than the other?
Finally I would say that mailing lists discussion board and mailing lists are both great ways to keep with a subject that’s of interest to you. You can jump in and participate and, better yet, unsubscribe any time you want. In some case, I would say that I would prefer discussion board over mailings. As in discussion board I am able to read post which interest me and posting message on a discussion board without having to much fear that my mailbox will turn into a junk box.
However for mailing lists, after subscribing to your interest mailing lists you will often come to receiving messages which is related to your interest and unrelated messages. In fact, it is always very difficult to unsubscribe any time you want and filters cannot completely remove spam. As a result, I would say that it is better to think before you subscribe to any mailing lists and to prevent from being had to changing to a new email address.
An Example of Subcribing Mailing Lists Module 2 Newsgroup
Newsgroups are discussion groups which have been around since the early days of the internet. There are thousands of newsgroups out there. You use special software to read and submit messages to newsgroup or you can search information in newsgroup using ‘Google groups’. Usenet and Bitnet are collections of newsgroup. The usenet is one of the oldest parts of the internet evolved from bulletin boards. If you send a message to a Usenet group then potentially anyone with internet access can read it. Below is an example of goggle tourism Malaysia newsgroup.
Module 2 ICQ
Today I have managed to get someone to entering my chat in yahoo. In fact, I found that I would be able to communication better in chat rather than face to face or on the phone because for me English isn’t my first language. In fact, I feel that by using chat as an communication tools, we could eventually build up a better friendship by getting to know each other better rather than on the phone which both of us might have difficulty in understanding. When we discuss about the topic on which chat service would be the best preference, many vote yahoo messenger as their most prefer.
Many stated that one of the main reasons they choose msn is because most of their friend’s are more on yahoo messenger which when come to communication the message appear to be arrive more easily. Indeed, there are also not much different within yahoo messenger, icq and webct chat. The difference might be webct appear to be have less function compare with yahoo and icq as it is mainly created for Curtin student and to discuss problem on their studies. In fact, the way it also don’t support webcam and voice mail and often it takes a long time to get into the server because there are always a lot of people in the room. As a result, when creating a chat room, they are often required password for entering the room or only people are invited are able to get in.
On the other hand, some students also cited that, when they are using yahoo messenger they are able to communicate with their family friends around the world without having to pay any additional costs. In fact, when calling from Australia to Malaysia it might properly cost $30 on the phone but for internet they might only costs them a costs of a local call. Even though some students appear to have still using 56 modem while communicate oversea which will cause a bit slow, however they still found it that the problems of speed could also be solve when all application had been closed except for yahoo messenger.
Finally, with the increase in technology such as broadband many things are able to be done in a fast manner and more time being safe. For example: by using yahoo messenger, I am able to doing many different things at the same time such as watching movie, reading email, playing games, downloading files and listening to music which the whole internet is been fully utilize without being waste.
Eventually, I personally feel that messenger has changed the way people communicate and has created many benefits for users in terms of costs, speed and others. Chat and instant messenger are fun, as long as you stay among people whose reasons for chatting are the sane as yours. Like a carnival or circus, chat is an entertaining place with a speedy and should enjoy with caution. But if you are careful, you can be safe interactive fun with chat and instant messages.
Module 2 Internet Rely Chat (IRC)
IRC is a form of internet communication which takes place in real time. There are subject-related chat groups similar to discussion groups but the communication is much more interactive with individuals responding and replying to each other’s messages in real time. IRC also provides less formal forums called chat rooms. IRC is usually text-based but real time voice and image-based chat systems are also emerging. In chat rooms, people communicate in real time using text.
More than two people chat at once, although this can be very confusing if people don’t behave in them and follow some basic etiquette. They are usually set for a particular time, and have a moderator. In fact, IRC may also support up to 100 people, depends on the size of the room. However, it should be remember that when the size increases the speedy eventually also slow down and cause some traffic for people who try to get in to particular room.
Chat groups have become very popular in IRC. As they operate in real-time they are similar to telephone party lines. Many people who participate in chat groups use fake names or identity so you don’t really know who you are chatting with or even their gender. Some people have established relationships on chat groups which they have continued in real life. However, there have also been reports of assaults and rapes resulting from chat groups relationships. As a result, it is important to note that your personal safety may be at risk, if you meet people from chat rooms which are unknown to you.
On the other hand, instant messaging is a lot like IRC chat, however there are a few key differences. One, most instant messages are sent to or received from people you know. Two the conversations are just between you and one other person which is unlike IRC where there are so many people chatting around. Instant messenger also let you see, from among a lists you set up yourself (a “Buddy Lists”) which of your friends are online at the same time you are (see the picture below). In fact, most Instant messenger also support web cam and voice conversation which your friend are able to see to through web cam and talk using a mirc.
In fact, if you have a hotmail account, you can automatically get Windows Live Messenger which is already installed in your computer when you purchase window software and you can use it immediately. If you know another person screen name, you can use Windows Live Messenger to see if they are online. If they are, you can type them a quick message and it automatically pops up on their screen.
Those who still don’t have Windows Live Messenger can download it from msn website http://www.msn.com/. Its quick download and it walks you through step by step. Above is a module Of MIRC
